Communications
Send from your own address. Replies land on the customer's record.
Connect your Google Workspace, Microsoft 365 or Zoho Mail mailbox. What you send goes out from your own address and sits in your own Sent folder, and what comes back is logged on the customer it belongs to. We set the connection up for your shop.
Growth and up
Two directions, one record
Out: from your own address
Pick your own address as the sender when you write to a customer. The message goes out from your mailbox, sits in your Sent folder, and is kept on the customer's record with who sent it and when.
If a send from your mailbox fails, it is not quietly sent from the shop's shared address instead.
In: replies logged on the customer
The Inbox and Sent folders of every connected mailbox are read every few minutes. A reply from a customer, or an email you wrote in your own mail app, is filed on the right customer, client or lead.
Not instant: expect a few minutes between a reply arriving and it showing on the record.
Works with the mail you already use
All three connect the same way, and a shop can use more than one. Here is what differs.
Google Workspace
- Who can connect
- Google Workspace accounts. A personal @gmail.com address cannot be connected.
- What you send
- Lands in your Gmail Sent folder.
- Good to know
- Reading can be limited to mail filed under a Gmail label you choose.
Microsoft 365
- Who can connect
- Work or school accounts in your organization. Personal Outlook.com and Hotmail accounts cannot be connected.
- What you send
- Lands in your Outlook Sent Items.
- Good to know
- A custom Reply-To address and the unsubscribe header on marketing email both go through.
Zoho Mail
- Who can connect
- Zoho Mail accounts, all in the one Zoho data center your shop uses (Canada unless set otherwise).
- What you send
- Lands in your Zoho Sent folder.
- Good to know
- A message sent this way cannot carry a custom Reply-To address or the unsubscribe header. Replies go to the connected mailbox.
We set it up. Your team connects in a click.
-
We register the connection
The one-time registration with Google, Microsoft or Zoho is ours to do, for your shop. In a Microsoft 365 organization that restricts what people may approve, your administrator may be asked to approve it once.
-
Each person connects their own
From My account, a team member presses Connect, chooses their work account and approves. Nobody can connect a mailbox on someone else's behalf, because the permission is theirs to give.
-
You decide about replies
Sending works as soon as a person connects. Logging what arrives is a separate switch, off until an administrator turns it on, once for the whole shop.
Their mailbox stays theirs
Read and send, nothing else
Only permission to read and send mail is asked for. Nothing in the mailbox is deleted or changed.
Only people you already know
By default only messages to or from somebody already on file are logged, so a person's private mail stays out of a record their colleagues can open. Logging every message is a separate choice we recommend leaving off.
Tell your team first
Only messages involving a customer are logged, but it is still somebody's mailbox. Tell people before reading is switched on.
Where it stops
-
A thread is a conversation, not a shared inbox
Messages are kept per person and per client. Your team reads the conversation on the customer's record; it does not open each other's mailboxes.
-
Business accounts only
Personal Gmail, Outlook.com and Hotmail addresses cannot be connected. An address on a Google Workspace, Microsoft 365 or Zoho Mail account can.
-
A connection can lapse
If a person changes their password or takes back the permission, their connection stops until they connect again from My account. Sending and reading from the other mailboxes carries on.
See it running on your own work orders
Thirty minutes, at a time that suits the shop. We load a few of your real jobs in and you tell us where it would break.
